On an event or job where staff are spread across different places and roles, everyone needs the right information for that role and that place. Where to be, what to wear, what the assortment is, who the contacts are, and more...
Informing people by sending files and messages via WhatsApp or email takes a lot of time. It is also error-prone, and every change means starting over.
Why briefing per sales point or location matters
People at different places need different information (assortment, times, contacts, house rules). One message or file then fits nobody fully, or you end up sharing place-specific information with everyone.
Why sharing files via WhatsApp is not ideal
WhatsApp is a great communication tool, but it is not suited to reliably briefing a growing workforce about their shifts.
- Instructions and attachments get missed
- Every change means updating the WhatsApp group and sharing files again
- It is error-prone: you can send the wrong file or post in the wrong group without noticing
More detail: WhatsApp for scheduling. Flooptimize does not replace chat; it takes structural briefing out of it.
How Flooptimize keeps staff informed
You record in the backoffice what belongs to the event, the sales point, and the shift. What the worker needs follows from how you set up shift templates and the event context — not from typing it again in a group.
Per sales point (and optionally concept) it is clear where someone stands. You can link products to a sales point (products). A worker can then see exactly which products are sold, at what price, and optionally even preparation notes.
In Flooptimize you build the briefing by recording information in the backoffice. What you record — the event and related info, the sales point, contacts, and so on — flows through to the employee portal.
- Record info in the backofficeWhat belongs to the event, the place, and the shift — enter it once.
- Worker opens the shiftIn the employee portal they see who, where, when, and the other information for that specific shift.
- Staff swap? The new worker sees all the information in the portal straight away — you do not need to share or forward anything again.
- Something changed?Update the information in the backoffice and it is reflected in the portal. Info stays current without manually forwarding things.
What the worker sees
In the employee portal, the shift shows times, place, instructions, and where relevant assortment, colleagues, and contacts. No digging through chat history.
