Your company: your functions and roles

How to set up functions and roles in Flooptimize so planning, shift templates, and the employee portal match how your business works.

Flooptimize works best when it “knows” how your business works. Functions and roles are the foundation: who does which type of work, and what the system matches on when planning and building shifts.

What are functions and roles?

In short:

  • Function — what kind of work someone does or may do (for example service, kitchen, driver, bar, hospitality).
  • Role — how that person fits into the crew on a shift (for example lead, senior, junior, manager).

You choose the exact names. What matters is that planners and staff both recognise them.

Why set this up first

A lot of what follows depends on it:

  • Shift templates build on roles and functions (the same types of shifts keep coming back, even when each event is different).
  • Shift generation uses that setup to create shifts that match how you work.
  • Smart scheduling can suggest better matches when roles and functions are correct and also set on employees.
  • Clarity for workers — it is clear which shifts they can and cannot take.

Examples by type of business

Per segment: type of work (function) versus role on the shift.

Food truck / event catering

  • Type of work (functions): service, kitchen, driver, event.
  • Roles: for example manager, senior, junior, lead.

Staffing for events

  • Type of work (functions): service, bar, kitchen, driver.
  • Roles: for example lead, manager, senior, junior.

Sports / venue hospitality

  • Type of work (functions): host, bar, kitchen, dispense.
  • Roles: manager, lead, senior, junior.

You do not need every conceivable label. Start with the functions (types of work) you see every weekend or peak day, and add roles only when you really distinguish levels in the crew.

How you set them up (high level)

  1. Decide which kinds of work you actually use (functions).
  2. Decide which levels or places in the crew you distinguish (roles), if that applies to you.
  3. Record them in Flooptimize and use them when creating your templates.
  4. Maintain sparingly: only extend when practice really needs a new type of work or role.

What role and function do in scheduling

When filling shifts, Flooptimize uses role and function to match people. You stay in control: a suggestion is not an obligation. With clear roles and functions, the system can reason which employee (also based on availability) is likely the best match.

Do not overcomplicate it

Small team and almost always the same crew? Keep it limited: a few functions, maybe one or two roles. Better three labels everyone understands than twenty nobody maintains.

Once you have more events, more flexible workers, or more different kinds of shifts, a clean set of functions and roles pays off in templates, generation, and the portal.
