How does automatic shift generation work?
In Flooptimize you create events (jobs) and fill in as much information as you can. You set the dates and times for the day(s) and configure sales points. A sales point is simply a place on an event where a worker can be assigned — a food truck, a bar, a kitchen, an exit, and so on. (More on concepts and sales points follows in a separate article.)
Per sales point you then enter how many workers you need. Based on how you shaped the system — the rules you created — Flooptimize automatically creates shifts that match how your business runs.
That saves a lot of slow, manual work. You can still adjust every generated shift by hand where needed.
What are shift rules?
Shift rules determine how shifts are generated. From the context (which event, which day, which sales point or zone), your rules decide which shifts appear: which roles, what function, and at what time — exactly as it works in your business.
When generating, Flooptimize follows the rules you set. Everything can still be changed afterwards. You stay in control.
What shift rules do not do
Shift rules and shift generation are not a full replacement for planners. They are part of the tools Flooptimize offers to make operations and scheduling easier, faster, and clearer. They lay down your fixed shift setup on this event. They do not automatically assign people or decide the staffing plan.
- Generate: create shifts. The system does this when you click generate shifts.
- Schedule: match workers and put them on a shift. That is you or the planner.
How do templates, roles, and generation fit together?
First you set up how your business works: functions and roles. Then you build shift templates — reusable patterns (function, role, situation, fields), not a copy of a whole event.
Shift rules and generation apply those templates to the context you prepared for this event. Concrete shifts appear with the right situation, function, role, and times — without starting from scratch at every festival or client job.
What mistakes do people make often?
Three things that make generation less useful:
- Too little context — days or sales points/zones not (or only partly) ready, headcount missing. Then the system cannot tell where and how many shifts should appear.
- Rules that are too tight — stuffing every exception into the rule. Prefer a clear standard, and adjust on the event itself.
- Skipping the review — generation is a starting point. Checking that times, headcount, and shift types are right for this weekend avoids hassle later in the portal and with hours.
