Scheduling staff across multiple food trucks or sales points

How to schedule crew across multiple food trucks, stands, or zones at the same event — without relying on WhatsApp and Excel for everything.

At a festival or event you rarely work “somewhere on site”. You work on truck 2, bar A, kitchen tent, or zone east. Once you run several of those places at once, you need to schedule people specifically to a place or sales point on the event — and share the right information with them.

What to define per truck or stand

Before you schedule people, the place has to exist in your operation:

  1. Which sales points (trucks, stands, zones) run on which event day
  2. How many people you need per place
  3. Which type of work or concept belongs with it (optional, but useful for multi-outlet)
  4. Which shifts follow from that (roles, times)

How Flooptimize schedules crew per sales point

You create an event or job, link the relevant sales points to the right days, and fill in headcount. Based on your shift rules you can generate shifts per place. Then you (or the planner) decide who goes on which shift.

In the employee portal the worker sees which place belongs with the shift. They can also see event information and the other important shift details there.

  1. Set places up
    Sales points (and optionally concepts) on event days, with headcount.
  2. Generate or schedule shifts
    Per sales point, shifts appear according to your rules; you confirm or adjust.
  3. Everyone stays informed
    Who, where, when, and other details are visible on the shift in the employee portal.

When one sales point is enough

One unit, one team, almost always the same setup? Start with one sales point. Better labels everyone understands than twenty nobody maintains.

Once you run parallel outlets or zones, or the same truck with changing concepts, a clean set of sales points pays off in scheduling, portal, and later products.
