From creating a job or event to payout

How Flooptimize turns event or job into one chain through shifts, portal, hours, and ready-for-payout — without retyping between Excel, chat, and files.

When you schedule flexible staff on events, planning is rarely the only problem. The real load is often everything around it: typing the same information again, sending files around, later reconstructing how long people actually worked, and then still having to check and pay out all the hours. Flooptimize is built to turn that chain into one logical whole: you keep building on the event you create.

How does the chain from job to payout run?

In plain language, start to finish:

  1. You create an event or job — the assignment everything hangs off (what is an event or a job?).
  2. You set up days and sales points (or zones / locations), with headcount where needed.
  3. You generate shifts based on your rules and templates, and schedule people in (shift rules, shift templates).
  4. Staff see briefing and shift info in the employee portal (the right information shows up automatically).
  5. Afterwards they simply confirm their worked hours in that same portal.
  6. You approve in the backoffice (within limits you set, that can even happen automatically).
  7. Then: ready for payout — export toward payroll where that applies for you, or the freelancer credit-invoice route based on approved hours (processing hours, freelancer credit invoice).

What does “data builds on itself” mean?

You do not type name, days, places, headcount, and shifts three times over. The same data you set on the event later lands with the worker in the portal, on the hours for that shift, and in the review afterwards.

That is the difference with loose tools: there, the schedule is often one file, the briefing another, the hours yet a third. You are constantly ferrying that information by sharing messages and files over email or WhatsApp.

Generate shifts

Click to generate shifts according to rules you can set yourself. In this example the rule is that the first employee is a senior and the rest of the shifts are junior shifts.

In Flooptimize you set roles and the generation rule yourself. This demo only shows how crew size changes the outcome.

What lives in Flooptimize — and what stays elsewhere?

In Flooptimize (the operations chain): event/job, days, sales points, shifts, portal, hours, approval, and the bridge to payout (payroll export or freelancer credit-invoice route, depending on how you work).

Elsewhere stays: your payroll provider, bookkeeping, and formal tax or legal choices. Flooptimize is not a payroll system and not an accounting package. We help through approved hours and the routes after that that belong to Flooptimize; your existing chain takes over from there.
