Before you can schedule, you need to know who can work when. In practice that often runs through a round of messages, a form, or a file you keep yourself. Every round again, and changes come in separately.
In Flooptimize, workers submit availability in the employee portal, based on the events you have already set. Days with events are pre-filled. They can add extra days themselves. That way workers submit availability for the days you actually need, without you having to write out which days those are.
How submitting works
In the portal, availability is shown per month. Per day you mark yourself available, optionally with times (from, to, or from to), or that you cannot work that day. One tap, not a new form.

What you do with it as planner
You no longer need to retype availability into the schedule. When you assign someone, you see whether that person can work that day at all. Together with function, role, and concept, that is the input for smart scheduling: Flooptimize can suggest a match, and you confirm or change it.
WhatsApp stays useful for last-minute coordination. Structural “who can when” belongs in the portal, not in the group chat. More: Use WhatsApp for what it is meant for.
People fill it in, or they do not. If someone submits nothing, you cannot match on real data. You also do not need to lock the whole year: start with the days that matter, and the worker adds extra days as needed.
How this fits the rest of Flooptimize
- Portal: employee portal
- Then schedule: smart scheduling, planning overviews
- Chain: from event to payout
